Position Overview
We are seeking a highly organized and proactive Executive Administrative Assistant to
support our leadership team. This part-time role (30 hours per week) is critical to ensure
smooth operations and effective communication within our dynamic consulting firm. The
ideal candidate is detail-oriented, tech-savvy, and capable of managing multiple priorities
in a fast-paced environment.
Key Responsibilities
Administrative Support: Provide high-level administrative assistance to executives, including calendar management, scheduling meetings, and coordinating travel arrangements.
Communication Management: Handle internal and external communications, including emails, phone calls, contract management and correspondence, with professionalism and discretion.
Document Preparation: Prepare and edit reports, presentations, contracts and other documents using Microsoft Office Suite (Word, Excel, PowerPoint) and other tools.
Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
Trade Show Management: Assist with trade show planning, including ordering supplies, registration, coordinating schedules and assisting with travel.
Travel Management: Assist in booking both domestic and international travel for executives and other staff members.
Qualifications
Experience: Minimum of 2 years of administrative or executive support experience, preferably in a consulting or technology-focused environment.
Technical Skills: Proficiency in Microsoft Office/365 (Word, Excel, PowerPoint, Outlook) and familiarity with Microsoft Business Applications (e.g., Dynamics 365) is a plus.
Organizational Skills: Exceptional ability to prioritize tasks, manage time effectively, and maintain attention to detail.
Communication: Strong written and verbal communication skills, with the ability to interact professionally with clients and team members.
Problem-Solving: Proactive and resourceful in addressing challenges and anticipating needs.
Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.
Location: Must be based in the greater Nashville area.
Travel: Some travel, to trade shows or other executive events, may be required, as needed.
